The GAA is committed to protecting the privacy of our members. As a not-for-profit organisation, we uphold our "responsibilities of care" under the Data Protection Act to ensure your information is handled safely and transparently.
While CCTV can help protect your plot, you must follow data protection law if your camera captures images beyond your plot boundary (e.g., communal paths or neighbours' plots).
If your CCTV records outside your plot, you MUST:
Limit the area: Only capture what is strictly necessary.
Signage: Put up a sign letting people know CCTV is in operation.
Storage: Ensure footage is stored securely and deleted regularly.
Requests: Be prepared to provide footage to anyone who appears in it if they ask.
Privacy: Use filters or privacy blockers to blur communal spaces where possible.
We only keep information necessary for Association activities:
Name and Postal Address
Email Address
Telephone Number(s) (Optional, but required for the WhatsApp Group)
Your data is used solely for legitimate Association business, such as:
Daily running of the GAA.
Notifying you of meetings and sharing minutes.
No Spam Policy: We will never disclose your data to third parties for advertising.
Access is strictly limited to the Chairperson, Secretary, and Treasurer.
Documents are stored on a password-protected sever off shore.
Mass emails are always sent via Bcc to keep your email address private.
Accuracy: We rely on you to keep us up to date. You can request a copy of your data at any time by emailing the Secretary.
Retention: When you leave the GAA, we will delete your data after 6 months.
Cloud Storage: We use cloud storage for email only. Sensitive data is store off shore.
Device Security: Any mobile devices used for GAA emails must be protected by at least a 4-character PIN.
Mass Email: Handled through a dedicated account: atgrowchapelsecretary@gmail.com.
